Who we are
Hazline Regulatory provides safety data sheet, labelling and chemical regulatory services. This policy explains what personal information we collect, why, and the choices you have. Questions or requests go to info@hazlineregulatory.com, which reaches the person responsible for privacy at Hazline.
What we collect
When you contact us, by email or through the spot-check form: your name, company, email address, the markets you sell into, and anything you choose to tell us about your products.
The spot-check form on this site and the request form in the client portal are delivered to us by Web3Forms, a form-handling service. It passes on what you type and keeps a copy for a limited time under its own policy. Please do not put formulas or other confidential details in these forms.
When we work together: the documents you send for the project, such as safety data sheets, formulations, raw-material supplier documents and test reports, and the contact and billing details needed to quote, deliver and invoice the work.
If you use our client portal: the email addresses you ask us to approve for your library, and the product list and safety data sheets for your site. Sign-in is handled by Cloudflare Access, which emails a one-time code to the address entered and records each sign-in, including the email address, time and IP address, under its own policy.
When you visit the site: we do not use advertising or tracking cookies, and we do not run analytics that identify you. Our hosting provider processes standard technical information, such as IP address and browser type, to deliver the site and protect it from abuse. Photos load from Unsplash and fonts from Google Fonts, so those services also receive your IP address when a page loads. The SDS self-check runs in your browser and your answers are not sent to us.
How we use it
- To reply to your enquiry, carry out the free spot-check and prepare a quote.
- To deliver the services you ask for, and to invoice and keep business records.
- To answer questions about work we have delivered, for example from your customers or an inspector, when you ask us to.
We do not sell or rent personal information, and we do not add you to a mailing list unless you ask to join one.
Formulations and confidential business information
Formulations and supplier documents are used only for your project. Access is limited to the specialist doing your work. We are happy to sign your non-disclosure agreement before you send anything, and where an NDA or service agreement is signed, its terms apply in addition to this policy.
When a project ends, you can ask us to return or delete your files. We keep a copy of the documents we delivered and the sources behind them only for as long as needed to support those documents and to meet our legal and tax record-keeping obligations.
Service providers and where data is stored
We use a small number of trusted providers to run the business:
- Cloudflare, to host and protect this website and the client portal, and to run portal sign-in.
- Google Workspace, for email and file storage.
- Web3Forms, to deliver messages sent through the spot-check form and the client portal request form.
- Unsplash and Google Fonts, for the photos and fonts on this site.
Some of these providers store or process information outside Canada, including in the United States, where it may be subject to the laws of that country. We choose providers that protect information with safeguards comparable to our own.
How long we keep it
- Enquiries that do not lead to a project are deleted within two years of our last contact.
- Business and tax records are kept for at least six years, as Canadian tax rules require.
- Project files are kept as described above, or returned or deleted at your request.
- Email addresses approved for the client portal are removed when you ask, and when the library service ends.
How we protect it
We use access-controlled business accounts, limit access to the people who need it, and send and store files through providers that encrypt data in transit. No method of transmission or storage is perfectly secure, so please tell us at once if you think information you sent us has been exposed.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to our using it, subject to legal or contractual limits. Email info@hazlineregulatory.com and we will respond within 30 days.
If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
Changes to this policy
We will update this page if our practices change, and change the date at the top. Significant changes will be explained to current clients directly.
